How to edit a budget line record

You can edit multiple records simultaneously by selecting them in the grid and updating them in the Preview pane on the right. For more information, see Mass update.

  1. From the main menu, select Run > Financials > Budget Lines. The Budget Lines page is displayed.

  2. Click the record identifier in the ID column to display the selected record.
  3. Click the tab you want to view or edit. The General tab is displayed by default.

    Tab Description
    General Displays details of the selected record. For more information, see General tab.
    Workflow Displays the workflow for the selected record. For more information about the workflow, see Budget line workflow.
    Discussions Displays any relevant conversations about the selected record. For more information about discussions, see Discussions.
    History Displays changes to the selected record. For more information about history, see History.
  4. Save your changes.

General tab

This tab includes the following sections:

Details

Field Description
Title External (common) name of the budget line.
Description Description that captures the details of the budget line.
Created by The name of the user who created the budget line.
Creation Time

The time that the budget line record was created.

Budget type The type of expenditure.
Budget Budget for the budget line.
Account code Internal code used for accounting.
Accounting period Accounting period for the budget line.
Amount The amount of the budget line.
Currency The currency used for the budget line.
Threshold Threshold of the budget line.
Project The project, if any, to which the budget line belongs.
Program The program, if any, to which the budget line belongs.
Portfolio The portfolio, if any, to which the budget line belongs.

Note The currency used for the budget line is the PPO basic currency. To change the currency, see Application settings.

Attachments

Click Add attachment if you want to attach a file to the record.

Note

  • The following file formats are supported: jpg; jpeg; gif; png; doc; docx; ppt; pptx; xls; xlsx; pdf; txt; xml; zip; msg; sql; gz; rar; tar; 7z.

  • The maximum file size of an attachment is 10 MB.

  • If the Attachments field has been defined as encrypted for this record type and you are a member of an encryption domain, click Add encrypted attachments to attach an encrypted file to the record.

  • Attachments are not visible in the Service Portal.
