How to edit a fixed asset record

You can edit multiple records simultaneously by selecting them in the grid and updating them in the Preview pane on the right. For more information, see Mass update.

  1. From the main menu, select Run > Financials > Fixed Assets. The Fixed Assets page is displayed.

  2. Click the record identifier in the ID column to display the selected record.

  3. Click the tab you want to view or edit. The General tab is displayed by default.

    Tab Description
    General Displays details of the selected record. For more information, see General tab.
    Workflow Displays the workflow metaphase and phase for the selected record. For more information about workflow, see Fixed asset workflow.
    Reconciled Assets Displays summary information about devices, infrastructures and peripherals, and licenses associated with this fixed asset record. For more information about reconciled assets, see Reconciled Assets.
    Discussions Displays any relevant conversations about the current record. For more information about discussions, see Discussions.
    History Displays changes to the selected record. For more information about history, see History.
  4. Save your changes.

General tab

This tab includes the following sections:

Details

Field Description
Display label External (common) name of the fixed asset.
Fixed asset number A unique number assigned to the asset.
Accounting code The accounting code for the asset.
Residual value The residual value of the asset.
Currency The currency of the residual value.
Residual value date The date of the residual value.
Description A detailed description of the asset.

Depreciation

Field Description
Depreciation basis The cardinal number for depreciation.
Depreciation scheme Scheme specifying how the asset model is depreciated, such as linear, geometric, or sum of digits.
Depreciation duration

The duration of depreciation in months.

Note When the Depreciation scheme is Sum of digits, the value that you specify must be a multiple of 12, such as 24, 36, and 48.

Depreciation rate

The rate of depreciation.

Available when: the Geometric depreciation scheme is selected.

Depreciation date The date depreciation is started.

Reconciled Assets

This tab includes the following sections:

Devices

This section displays summary information about devices associated with this fixed asset record. Click the record identifier in the Id column to display the selected device. You can add or remove linked device records.

To add a linked record:

  1. Click Add or the grid icon .

  2. Select the record(s). The added items appear in yellow.

  3. Click Save.

To remove a linked record:

  1. Select the record(s).

  2. Click Remove. The selected items appear in strikethrough text.

  3. Click Save.

Note  

  • You can add only those devices with an acquisition type of Purchase.
  • Removing a device record removes the association with the device, but does not delete the device record.

Infrastructure & peripheral assets

This section displays summary information about infrastructure & peripheral assets associated with this fixed asset record. Click the record identifier in the Id column to display the selected infrastructure & peripheral asset. You can add or remove linked infrastructure & peripheral asset records.

To add a linked record:

  1. Click Add or the grid icon .

  2. Select the record(s). The added items appear in yellow.

  3. Click Save.

To remove a linked record:

  1. Select the record(s).

  2. Click Remove. The selected items appear in strikethrough text.

  3. Click Save.

Note  

  • You can add only those infrastructure & peripheral assets with an acquisition type of Purchase.
  • Removing an infrastructure & peripheral asset record removes the association with the asset, but does not delete the infrastructure & peripheral asset record.

Licenses

This section displays summary information about licenses associated with this fixed asset record. Click the record identifier in the Id column to display the selected license. You can add or remove linked license records.

To add a linked record:

  1. Click Add or the grid icon .

  2. Select the record(s). The added items appear in yellow.

  3. Click Save.

To remove a linked record:

  1. Select the record(s).

  2. Click Remove. The selected items appear in strikethrough text.

  3. Click Save.

Note  

  • You can add only those licenses with an acquisition type of Purchase.
  • Removing a license record removes the association with the license, but does not delete the license record.
