Use > Plan > Application Portfolio Management > Optimizations > Edit an optimization record

How to edit an optimization record

  1. From the main menu, select Plan > Application Portfolio > Optimizations. Service Management displays a list of optimization records.

  2. Select the optimization record that you want to edit.

    To filter the record list, click the Add filter  button. For more information, see Filters.

  3. Click the optimization record identifier in the ID column to display the selected record, or click Edit in the optimization preview panel.

  4. By default, the optimization record is displayed with the General tab selected. Click the tab you want to edit or view:

    Tab Description
    General Displays general information about the selected optimization record. For more information about the General tab, see General tab.
    Workflow Displays the workflow metaphase and phase for the optimization record. For more information about workflow, see Optimization workflow.
    Data collection Displays the survey and all applications of the portfolio that is to be optimized. For more information about data collection, see Data Collection tab.
    Report Displays the optimization report of the portfolio. This tab is not displayed until the record is moved to the Assess phase. For more information about reports, see Report tab.
    Related proposals Displays proposals that are created from the selected optimization record. This tab is not displayed until the record is moved to the Complete phase. For more information about related proposals, see Related proposals tab.
    Discussions Displays any relevant conversations about the selected portfolio. For more information about discussions, see Discussions.
    History Displays changes to the selected portfolio. For more information about history, see History.
  5. Click Save when you are finished.

General tab

This tab includes the following sections:

Summary

This section contains general information of the record.

Field Description
Title The title for the optimization record.
Description The description that captures the details of the optimization record.
Target portfolio The portfolio that you want to optimize.
Optimization type The optimization type that is to be leveraged.
Created by The name of optimization record creator.
Creation time The time that the optimization record was created.

Survey options

This section contains information needed for sending a survey to the application owner. You need to provide this information in the Send survey phase.

Field Description
Email template From the drop-down list, select an email template to be used from the list or type a few characters to search for the email template. For more information on customizing email templates, see Notifications.
Due date Specify a future date for the end of the survey.

Data collection tab

The Data collection tab contains a link to the source survey before the survey is sent. It also contains a link to the target survey after the survey is sent.

You can also view the survey details in the Survey module by navigating through Build > Survey in the Main menu. For information on how to send a survey, see How to send a survey to collect application information.

All applications in the portfolio to be optimized are also listed with the following information displayed.

Field Description
ID The identifier of the application record. Click the ID value to link to the application record.
Title A short description provided by the end user.
Owner

The person who owns the application.

Note The survey is sent to the application owners only. To obtain an accurate survey result, make sure each application record has a Service Management user assigned as the application owner.

Phase ID The ID of the current phase of the application.
Information quality (%) The percentage of the survey that is completed. Data is displayed in the Wait for response and Assess phases.

Report tab

The Report tab displays a report that contains the optimization recommendations for all applications in the target portfolio. To view the optimization report, you need to move the optimization record to the Assess phase.

Note This report is not intended to provide a definitive answer as to whether this application should or should not move to the cloud. It is intended to provide potential cloud suitability from a business and a technical point of view.

The report contains the following fields.

Field Description
ID The application ID.
Title The name of the application.
Business suitability The optimal cloud solution from the business point of view.
Technical suitability The optimal cloud solution for the technical point of view.
Recommendation The final recommendation of whether the selected application is currently suited for any cloud delivery model.
Details

Click View details to find a graphical summary of all questions answered.

The summary displays the recommended cloud solution for each dimensions. For more details of the dimensions, see Optimization Types.

Note If the report is not displayed, click the Refresh button.

Related proposals tab

The Related proposals tab displays proposals that are created from the selected optimization record. This tab is not displayed until the record is moved to the Complete phase.

The following proposal information is displayed.

Field Description
ID The identifier of the record. Click the ID value to link to the record.
Title A short description provided by the end user.
Phase ID The phase that the proposal is currently in.
Target service The service to which the selected proposal applies.
