How to create and edit a license

Create a trial license

You can create a trial license manually.

  1. From the main menu, click Licenses.
  2. Click New.

  3. Complete the form with required information. See License details below.

  4. Click Save.

Upload a license key

You can upload a production or evaluation license key to the suite for new installed or renewed license.

  1. From the main menu, select Licenses.
  2. Click Upload licenses on the toolbar.

  3. Select the license mode.

  4. Click Import. You can get a preview of license information and licensable features. Click OK.

Note All suite license files can be uploaded here, supported formats include ov4key and xml. Currently, only Service Management licenses can be managed in Suite Administration, hence only Service Management licenses are shown in the grid, other product component licenses are installed to APLS, you can retrieve and install licensable features in APLS.

Edit a license

  1. From the main menu, select Licenses.

  2. Click the license in the ID column to display the selected license.

  3. Click the tab you want to view or edit. See License details below.

  4. Save the changes.

Note  

  • License information of a production or evaluation license are read from license key, only name and description can be edited.
  • After a trial license is added to license pool, mode and capacity cannot be edited.

License details

Field Description
ID License ID.
Mode

Displays the license mode Values include:

  • Trial
  • Production
  • Evaluation
Name Full name of the customer.
Access type

Access type:

  • Concurrent user: This license is based on the number of simultaneous users accessing the Service Management.

  • Named user: Only named user can access Service Management. Tenant admin need to assign license to users in Service Management.

Edition

License edition:

  • Express: Includes the following Service Management modules:

    • Service Portfolio

    • Service Catalog

    • Time Period

    • Service Level

    • Vendor

    • Change

    • Release

    • Knowledge

    • SACM

    • Survey

    • Service Request

    • Incident

    • Problem

    • On-Call

  • Premium: Includes the following Service Management modules besides Express edition:

    • Contract

    • Idea & Proposal

    • Application Portfolio

    • Project & Program

    • Software Asset

    • Financial

Start date

Start date of the license.

End date

End date of the license.

Note The maximum duration for a trial license is 90 days.

Capacity Capacity of the license.
Product number Identifier of the product activated by license.
Feature Determines the licensable feature.
Feature version Version get from license file. Only applicable to Production and Evaluation licenses.
License pool Displays the license pool ID if this license is added to a license pool.
Description

Description of the license.

License status

You can change the license status between Active and Inactive manually when the license is not added to a license pool.

Description

Active

Only Active licenses can be added to a license pool.

Inactive

Inactive licenses cannot be added to a license pool.

Retired

The license status becomes Retired automatically when the license end date arrives.

  • Retired licenses cannot be added to a license pool.

  • Retired licenses cannot be edited or deleted.

Add to license pool

Licenses are aggregated in license pools, you can assign multiple licenses in a license pool to one tenant.

  1. From the main menu, select Licenses.

  2. Select one or multiple licenses and click Add to license pool.

  3. Select a license pool and click Add. Licenses with same properties (mode, start date, end date, edition, and access type) are combined into one entry in license pool and the capacities are summed.

Synchronize license information from AutoPass

If licenses are uploaded directly in AutoPass, you can synchronize license information from AutoPass to Suite Administration.

  1. From the main menu, select Licenses.

  2. Select one or multiple licenses and click License reconciliation.

  3. Click CONFIRM.
