How to authorize knowledge handling in the Service Portal

By default, Service Portal users have permission to ask, review, and answer questions in the Service Portal.

If you are an administrator, you can limit Service Portal users to only asking questions, reviewing and answering other users' questions, or only reviewing other users' questions and answers they have received.

To configure the Service Portal user's permissions

  1. From the main menu, select Administration > People > Roles.
  2. Select the Service Portal User role.
  3. Under Questions & Answers, modify the permissions as follows:

    • To limit the user to asking questions only, select Ask questions and clear Answer questions.

      Note This Service Portal user cannot see the Help friends button, but he can still access and review questions that were asked by other Service Portal users when searching for help in the Service Portal search bar.

    • To limit the user to reviewing questions and answers only, clear both Ask questions and Answer questions.

      Note  

      • This Service Portal user cannot see the Help friends and Ask friends buttons, but he can still access and review questions that were asked by other Service Portal users when searching for help in the Service Portal search bar.
      • This Service Portal user cannot follow other people's questions or rate answers using the Follow and Vote buttons.

    Tip Although it is technically possible to grant a user permission to answer questions and at the same not to ask questions, this is not natural behavior. It is recommended to select one of the following Question & Answer permission variations:

    • Answer questions and Ask questions (default)
    • Ask questions only
    • Neither Answer question nor Ask questions
  4. Because the Service Portal User role is a locked system role, when you try to save your changes, you are prompted to save the changes as a new role.

    Provide a suitable name for the new role. The new role is saved in the roles list.

  5. When you create a Service Portal user, or edit an existing user, select the relevant role. For more information, see Users and contacts.
