How to edit a vendor record

  1. From the main menu, select Plan > Vendor.

  2. Select the vendor record you want to edit.

  3. Click the name of the selected record to display it.

  4. By default, the vendor record is displayed with the General tab selected. Click the tab you want to edit or view.

    Tab Description
    General Displays general information about the current record. For more information about the General tab, see General tab.
    Workflow Displays the workflow metaphase and phase for the current record. For more information about workflow, see Vendor workflow.
    Related contracts

    Displays the details of the contracts with the vendor, including the type of contract, the phase of the contract, and the expiry date of the contract.

    The number of active contracts with the vendor is displayed on the tab in parentheses.

    Managed customer

    The Managed customer tab appears only if you are working in a multi-tenant (MT) environment on the provider tenant.

    Displays the details of the managed customer's tenant and users who have access to the managed customer's records. For details, see Managed customer tab.

    Discussions Displays any relevant conversations about the current record. For more information about discussions, see Discussions.
    History Displays changes to the selected record. For more information about history, see History.
  5. Click Save icon Save on the toolbar.

You can edit multiple records simultaneously by selecting them in the grid and updating them in the Preview pane on the right. For more information, see Mass update.

General tab

This tab includes the following sections:

Section Description
Company details Name The name of the vendor.
DUNS number The company's unique identification number—provided by the company.
Code

The Service Management identification code for the vendor.

If this company is a managed customer in an MT environment, this code must be 3 characters consisting of uppercase letters or numbers (for example ABC) and is appended to the beginning of each request and incident record ID when viewed in the MT Console grid.

Company type

The type of company.

If this company is a managed customer in an MT environment, the Company type must be Customer.

Logo The company logo. Click Upload image to upload the logo image.
Caution note

Cautionary notes about the vendor. This field is mandatory when the vendor is in the Caution phase.

Available: When the vendor is in the Caution or Inactive phases.

To display more details, click Show more.
Description A description about the company; for example, your relationship, services provided, and so on.
Web site The URL for the company's official Web site.
Phone The company's telephone number.
Email The company's main email address.
Fax The company's fax number.
Contacts Contact your tenant administrator to enter the vendor contacts into the system, selecting the vendor's name in the Company field. These contacts automatically appear under the vendor's Contacts section.
Brands Brands for this vendor. For more information, see Brands.
Sites

Contact your tenant administrator to enter the sites into the system in the Locations module.

  • To select one of the sites as the company's headquarters, select the site and click Set as Headquarters .
  • To remove the Headquarters tag from a site marked Headquarters, select the site and click Remove Headquarters .

Managed customer tab

The Managed customer tab appears only in shared service environments when the tenant is a provider tenant.

Section Description
Managed tenant details Managed customer The selected check box indicates that this company is a managed customer.
Code The company's unique identification number. A three character alphanumeric, uppercase code used to identify the customer. This code appears in the MT Console as the prefix to all incidents and requests belonging to this customer. It is synchronized from Suite Administration.
Customer tenant A drop-down list of tenants that have been identified as your managed customers. Select one of the Tenant IDs as the managed customer. A tenant can be selected only for a single company at a given time.
Customer tenant URL

The value of this field is automatically populated by the URL for the customer selected as a Tenant. It can be edited if necessary.

Users with access Displays MT agents details for this managed customer. This section appears only for shared service admin users.
Filter users already added to those users with access to this managed customer's data.
